The venue is the biggest, most binding decision in your retreat

You're running the planning. We source the hotel, negotiate the contract, and hold the terms. You pay nothing.

It's the one decision you can't walk back.

Everything else in a retreat, you can adjust. The agenda moves. A session gets reworked the week before. The venue is the piece you commit to months out and live with.

The largest line in the budget.
The hotel contract is usually the single biggest cost of the retreat, and the gap between a sharp negotiation and a soft one runs into the thousands.
The longest lead time.
RFPs out to a shortlist, replies chased, the fine print on attrition and cancellation and food-and-beverage minimums read closely, terms compared that are never quite apples to apples. Weeks of work, most of it invisible.
The hardest to undo.
You sign before you've set a single agenda item, on terms you carry through the whole event. A room block that's too big. A cancellation clause that's too tight. An attrition number you can't hit. Those are expensive to find out late.

The work behind the contract

We know which properties are worth your time
We start from knowing the properties. Which ones take a group your size, which ones actually deal, which ones quietly stopped being worth the rate. We send your RFP to the ones that fit your retreat. Thats usually 25-50 properties.
We analyze every option and bring you a shortlist.
We look at every property that could fit your group, weigh the spaces, the amenities, and the fine print. You get a shortlist worth choosing from, with the comparison behind it.
We negotiate every term, not just the rate
Then we negotiate, with real alternatives in hand. The rate is one line. The room block tiers, the resort fees, the attrition clause, the food-and-beverage minimum, the meeting space thrown in, that's where the real money and the real exposure sit, and it's what we negotiate hardest. Most clients save 10 to 20 percent against what they'd have signed on their own, and the terms are the rest.

You run the retreat. We run the sourcing.

We Deliver:

A vetted shortlist matched to your dates, headcount, and budget.
RFPs sent, chased, and negotiated in parallel until the terms are right.
One clean contract, with every concession written in.
Your room block, rates, and cutoff dates managed through signing.

And it costs you Nothing.

There's no planning fee on sourcing. You put down a refundable deposit of $500 to $1,000 and it's returned when you sign. Flok earns its fee from the hotel, not from you.
So the largest, most committing spend in your retreat is the one piece that costs you nothing to get negotiated. If we don't put a contract in front of you worth signing, you're out nothing.

Is sourcing right for your retreat?

We're not for everyone. Here's where we do our best work:

Best For:
Teams handling the retreat planning themselves who want the hotel sourced and negotiated by people who do it every week.
Probably Not:
Groups under 50 room nights, teams set on an Airbnb, a villa, or a camp (we source hotels), or anyone already sourcing a property on their own.
What You Get:
A vetted shortlist, every term negotiated, and one clean contract. The retreat itself stays yours to run.

$600,000 negotiated on a single event

Moloco flew 800 people from 13 offices into one resort, 1,500 room nights in all. Flok took the room rate from $399 to $359 a night, then kept going, because the rate is one line and the contract has dozens.
~$248,000 in rate and fee reductions
~$238,000 in comped space, waived fees, and upgrades
up to $124,000 in attrition exposure removed

Questions about sourcing your venue?

The ones teams ask most before they hand off the hotel. If yours isn'there, a strategy call is the fastest way to a straight answer.

What is Flok?

Flok is a corporate retreat company for distributed tech and SaaS teams. We design retreats around your business goal and run every piece of them, from venue sourcing through on-site execution. Venue sourcing is the entry tier: the hotel leverage and the contract, without the full planning engagement.

What does Flok's venue sourcing include?

A vetted shortlist matched to your dates, group size, and budget; RFPs sent and negotiated in parallel across properties; the concession terms pulled into one contract; and your room block managed through signing. You run the retreat itself. We handle the venue, the rates, and the contract.

How does Flok get better hotel rates than I can?

Hotels route their strongest rates and concessions to buyers who bring them steady volume, and sourcing retreats is the work this side of Flok does. We negotiate a shortlist of properties in parallel, with real alternatives in hand, and pull the best terms into one contract. Most clients save 10 to 20 percent against what they'd have signed alone.

What does it cost?

No planning fee. A refundable deposit of $500 to $1,000, paid from the hotel's commission and returned when you sign a contract. Flok earns the hotel commission. If we don't deliver a contract worth signing, you pay nothing.

How far ahead should I start?

Earlier is more leverage. The more lead time before your dates, the more properties are open and the harder they compete. We can move fast on a tight turnaround, but availability narrows and so does the room to negotiate.

Can I move to full planning later?

Yes. Most clients start with sourcing and move to Custom when a retreat carries more weight. You don't change vendors. The team that sourced your venue already knows your group, your budget, and how you work.

Start with the biggest decision.

If you have a retreat coming up in the next 6 to 12 months, the strategy call is the fastest way to get a sense of fit, timeline, and budget.

Tell us your dates, your group, and roughly your budget. We'll come back with properties worth your time and the terms to win them.
